An exceptional Executive Assistant to provide high-level strategic and operational support to our Chief Marketing Officer (CMO). Your Role & Responsibilities…

• Manage the CMO's calendar, scheduling meetings with internal and external stakeholders at all levels; exercise judgment and professionalism to ensure an efficient and productive schedule.

• Respond promptly to real-time requests from the CMO and pivot seamlessly between tasks as needed.

• Manages telephone calls, emails, and Slack messages with professionalism, discretion, and a high level of confidentiality.

• Conduct daily briefing calls with the CMO to align on calendar and priorities.

• Prepare reports and presentations for special projects, proofread documents for accuracy, grammar, formatting, and alignment with intended audience.

• Act as a liaison between the CMO and internal/external business leaders, facilitating clear and timely communication.

• Coordinate domestic and international travel, including itineraries, approvals, and accommodations, ensuring cost-effectiveness and compliance with company policies.

• Review and reconcile incoming travel and expense reports for accuracy and policy compliance; submit timely and complete T&E expense reports.

• Schedule and support meetings, including AV/video conferencing setup, room preparation, and visitor pass coordination.

• Attend in-person meetings as necessary; organize and manage monthly departmental All Hands meetings.

• Take and distribute meeting notes, track action items, and follow up on deadlines to ensure completion.

• Support new hire onboarding by coordinating IT and office space needs, ordering equipment, and ensuring a smooth setup process.

• Maintain distribution lists, digital and physical filing systems, office supplies, and equipment.

• Proactively identify and solve problems, acting with a high degree of autonomy and initiative.



Qualifications & Experience…

• Minimum of 5 years of experience in a fast-paced entertainment or marketing organization.

• Prior executive administrative experience in entertainment or high-paced corporate environments required.

• High School Diploma required; BA/BS degree preferred.

• Experience with travel and expense systems; Concur experience is a strong plus.

• Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Keynote, Zoom, and other communication platforms.

• Strong interpersonal skills; able to communicate clearly and positively with individuals at all levels.

• Proven ability to manage confidential and sensitive information with discretion and professionalism.

• Proactive problem-solver with a collaborative mindset; willing to take initiative and assist where needed.

• Intellectually curious with the ability to look beyond immediate tasks and anticipate broader needs.

• Detail-oriented with excellent comprehension of written and verbal instructions.

• Flexible and adaptable in a dynamic work environment with shifting priorities.

• Capable of managing multiple tasks efficiently and meeting tight deadlines.

• Occasional travel will be required as needed.

• Strong writing skills and experience preparing high-quality presentations (PowerPoint and/or Keynote) is a plus.
