As an Administrative Assistant at our dealership, you will play a key role in supporting the day-to-day operations of the office and assisting dealership staff with administrative tasks. Your organizational skills and attention to detail will ensure that administrative processes run smoothly, contributing to the overall efficiency and effectiveness of the dealership. You will serve as a vital link between various departments, providing administrative support and helping to maintain a positive working environment.

Responsibilities:

Office Management:
  • Greet visitors and customers, answer incoming calls, and direct inquiries to the appropriate department or staff member.
  • Maintain a clean and organized office environment, including managing office supplies and equipment.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with scheduling appointments, meetings, and conference calls for dealership staff.
Data Entry and Record-Keeping:
  • Input data into dealership databases and software systems accurately and efficiently.
  • Maintain electronic and physical filing systems, ensuring that records are organized and easily accessible.
  • Prepare and distribute reports, memos, and other documents as requested.
  • Assist with inventory management, including recording incoming shipments and updating inventory records.
Customer Support:
  • Provide assistance to customers with inquiries, appointment scheduling, and other administrative needs.
  • Assist with customer follow-up calls and surveys to ensure satisfaction and gather feedback.
  • Handle customer complaints or concerns professionally and escalate issues to management when necessary.
Administrative Support:
  • Assist dealership staff with administrative tasks, including typing correspondence, preparing presentations, and organizing documents.
  • Coordinate travel arrangements and accommodations for dealership personnel as needed.
  • Assist with event planning and coordination, such as dealership promotions, open houses, and customer appreciation events.
