Job Profile Summary This role focuses on performing activities associated with evaluating, developing, recommending, implementing, and carrying out the policies and procedures related to the delivery of high quality patient care. In addition, this role focuses on performing the following Customer Service duties: Guides the patient through the healthcare system and works to overcome obstacles that are in the way of the patient receiving the care and treatment they require. A professional individual contributor role that may direct the work of other lower level professionals or manage processes and programs. The majority of time is spent overseeing the design, implementation or delivery of processes, programs and policies using specialized knowledge and skills typically acquired through advanced education. A senior level role that requires advanced knowledge of job area typically obtained through advanced education and work experience. Typically, responsible for: managing projects / processes, working independently with limited supervision, coaching and reviewing the work of lower level professionals, resolving difficult and sometimes complex problems.

Job Overview

The position serves under the Access Capacity Management Team in the Tufts Medicine Ambulatory division. Partnering closely with Tufts Medicine’s Information Services Department and Practice managers the role functions as an extension Ambulatory Practices and supports liaising between the Ambulatory, Revenue Cycle and stakeholders across Tufts Medicine to align technology solutions with business strategies. Supports the design, build, testing, implementation, education, and daily maintenance/use of Ambulatory and applications. The position requires in-depth knowledge of one or multiple areas of focus in an application specialty related to Ambulatory and Revenue Cycle operations; namely, but not limited to, the following applications/ build and other areas supported by technical solutions: Cadence, Referral Management, Prelude, Real-Time Eligibility (“RTE”), maintenance of Epic Facility Structure elements, Payer/ Plan Code Configuration, Schedulable Epic Resource (“SER”) Table or Provider Master File, Provider Scheduling Templates, Health Information Management Operations Birth Registrar, Release of Information (“ROI”), Identity Management, Scanning Operations, Transcription, Chart Deficiency Management, Inpatient/ Outpatient/ Emergency Department Coding, Document Management, Faxing Operations, Revenue Integrity Charge Capture, Payment Variance, Denials Prevention, Hospital Billing (“HB”), Single Business Office Billing (“SBO”), Professional Billing (“PB”), Claims + Payments, and Epic Cogito Analytics/ Reporting.The position has the ability to apply strong critical thinking to more complex situations, and efficiently initiate solutions through their understanding of ambulatory and revenue cycle data and Epic database structure.

Job Description

Minimum Qualifications:

1. Undergraduate degree and Five (5) years healthcare business analyst/ IT experience or

2. Graduate degree and four (4) years healthcare business analyst/ IT experience

3. Current Epic certification(s) and/or appropriate certifications as defined by role or must obtain appropriate certification(s) within three months of scheduled class date

Preferred Qualifications:

1. Epic Cogito Analytics/ Reporting highly preferable

2. SQL Experience

Duties and Responsibilities: The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.

1. Serves as an experienced business specialist and technology generalist responsible for aligning technology solutions with business needs in concert with the strategic direction set forth by the Ambulatory Managers, Directors, and Senior Director

2. Serves as an extension to the Ambulatory Practices liaising between the Tufts Medicine Revenue Cycle and Tufts Medicine’s Information Services Department.

3. Supports more complex builds and issue research/resolution tasks

4. Secures sufficient and thorough system testing consistent with protocols established by the organizations governance committees prior to approving the migration of updates into the production environment

5. Develops and maintains standard technical and operational documentation for all implemented efforts to support sustainability and end-user education/ experience/ results

6. Manages small and medium sized projects with the need for minimal managerial oversight

7. Actively seeks on-going education and understanding of current/ available system functionality, benefits, and implementation requirements to ensure competence as a subject matter expert (“SME”) in areas of assigned focus

8. Engages continuously with direct ambulatory and revenue cycle teams to gain operational context and an understanding of pertinent business processes

9. Promotes and champions a data-driven Capacity Management, Revenue Cycle and operations across Tufts Medicine; aims to establish formal measures of performance for all initiatives, implemented workflow, and as determine fitting to quantify other efforts/ output

10. As assigned, conducts research and analyses sufficient to vet the application of technologies with potential to enhance business processes/ performance

11. As assigned, able to present findings and recommendation aligned with measurable optimization to OSO leaders/ applicable decision makers for consideration

12. Provides technical and professional guidance to less experienced Capacity Management Team members

13. Promotes a culture of continuous learning and knowledge share across the entirety of the Capacity Management team, revenue cycle, and other key stakeholder groups

14. Collaborates with the Education + Professional Development arm of the OSO to support the continuous alignment of systems, process, analytics, and education across Tufts Medicine

15. Collaborates with the Ambulatory and Sr. Director, Directors, Managers and Lead Analysts to support the development, monitoring, and adjustment of Capacity Management initiative work plans through successful completion

Physical Requirements:

1. Frequent sitting, occasional standing & walking, and lifting of 5-10 lbs.

2. A valid driver’s license is required for local travel to remote hospital sites, and the like.

3. Requires manual dexterity using fine hand manipulation to operate a computer keyboard or related equipment

4. Requires ability to see computer screen, monitoring equipment and reports.

5. Willing to travel up to 10% of the time to a Tufts Medicine and/ or otherwise indicated location, following occupational health requirements being met unless provided an exemption; prior notice may be limited based on the circumstance, however employer will aim to provide advanced planning to extent feasible

6. Willing to support occasional off-hours support if exception-based circumstance requires

Skills & Abilities:

1. Strong technical, analytical, problem-solving, project management skills demonstrated through prior professional experience; Serving in a senior capacity, possesses experienced organization and project management skills, the ability to influence the performance of a collective team of resources that may not report directly to them, prioritize and guide tasks, and support leading initiatives from inception through completion by established deliverable dates.

2. Ability and willingness to learn new technical applications and information quickly and utilize application tools and information to meet end-user/ operational requirements

3. Knowledge and understanding of hospital revenue cycle operations including, but not limited to: scheduling, patient registration across the continuum of a patient’s experience and in various care settings, patient estimates, pre-certification/ authorization, financial counseling, pre/ point-of-service patient liability collections, referral management, middle revenue cycle operations [inpatient/ outpatient/ emergency department hospital and professional coding, health information management operations, release of information (“ROI”), medical transcription], clinical documentation integrity, utilization management (“UR”), revenue integrity [charge description master management, charge capture integrity, payment integrity, denials prevention, patient financial services [hospital billing (“HB”), single business office (“SBO”), professional billing (“PB”), claims and payment posting, denials management, payer audits, post-acute care setting operations [home health, hospice].

4. Strong functional competence using Microsoft Office Outlook, Teams, Word, Excel, Power Point, Visio required experience and ability to gain additional competence using Microsoft Access, Project Management software.

5. Ability to project manage small to medium scale projects

6. Ability to interpret and present data and identified meaningful patterns

7. Resourceful in gathering pertinent information to inform decision-making
